Privacy Policy

Headwater Analytics LLC, doing business as Headwater Dispatch ("we"), answers phone calls for businesses such as water, fire and mold restoration companies ("our customers") when their staff can't. This policy explains what we collect on our website and when we answer calls for our customers.
If you called one of our customers
When you call a business that uses our service, our virtual assistant answers on that business's behalf. We collect:
- your phone number and call details, such as the time and length of the call
- what you tell us: your name, the address that needs service, a description of the problem, your insurance company or claim number if you share it, and when to call you back
- a recording and transcript of the call
We use this to pass your request to the business you called, to connect urgent calls to its staff, to send you a confirmation text if you ask for one, and to check the quality of our service. The business you called controls this information and we process it for them. To see or delete it, contact that business, or contact us and we'll pass your request on.
If you use our website or contact us
We collect what you send us, such as your name, business name, email and phone number, plus basic information about how the site is used. We use it to reply to you, to set up and provide the service, and to improve the site. We send business email only as the law allows, and every email lets you opt out.
Text messages
We send text messages only to people who agree to receive them: business owners and staff who sign up for call alerts, and callers who ask for a confirmation of their service request. Message frequency varies. Message and data rates may apply. Reply STOP to stop receiving messages and HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are not shared with any third parties, except the service providers that deliver messages for us, such as our telephone carrier.
Who we share information with
We don't sell personal information or share it for cross-context behavioral advertising. We share it only with:
- the business you called
- service providers that help us run the service, such as phone, voice, cloud hosting, AI language processing, email and payment providers, under contracts that limit how they use it
- authorities, when the law requires it
How long we keep it
By default we keep call recordings for 90 days and transcripts and summaries for 12 months, unless the business you called asks us to delete them sooner or the law requires us to keep them longer.
Security
We use encryption in transit, access controls and multi-factor authentication. No system is perfectly secure.
Your rights
Depending on where you live, you may have the right to access, correct or delete personal information and to opt out of certain uses. For call information, contact the business you called, or email privacy@headwaterdispatch.com and we'll route your request. We won't treat you differently for using these rights.
Children
Our service is for businesses and isn't directed to children under 13.
